New Features in the Latest Version of Vernon 5.0

There are several valuable new features in Vernon CMS version 5.0, as well as a number of enhancements to existing tools and facilities. The main changes are:

Cataloguing

  • New: Unicode Now you can use Unicode characters such as Chinese, Arabic and Greek in all Vernon fields
  • New: Packing Unit The Packing Unit file (formerly known as the Crate file in the Activities module) has been integrated into location control.
  • New: Classification History & Bulk Update tool A new edit table has been added to the Object file to record the history of prior classifications that have been previously ascribed to this specimen/object.
  • New: Risk Assessment tab in the Object Administration Window There is a new page tab in the Object Administration window called Risk Assessment. This edit table can record information useful for catastrophe planning.
  • New: Object Type Field in the Object Identification Window A new multi-valued authority controlled field called Object Type has been added to page 1 of the Object Identification window.
  • New: Web Address Field in the Person Identification Window There is a new field to record a Web address in the Person Identification window.
  • Change: User Defined Value Fields All User Defined Value fields, the Date/number fields window, are now multi valued.
  • Change: Location window check warning. In the generic location screen users sometimes enter Usual Location when they really meant to update Current Location.
  • Change: Object Acquisition, Provenance and Copyright Window. The Acquisition Method and Reason fields are now multi-valued. This means that you can now record if the object is part donated and part purchased; or if the object has been acquired for more than one reason.
  • New: Index in Object File for Photo/AV Format. There is a new symbolic field in the Object file for a Multimedia Flag index, with values of Image, Video, Sound, indicating if any (or all) of these are present.

Multimedia

  • New: Image Metadata Automatically Captured. Metadata about image is automatically captured from the digital media file in photo/audio visual records and can be viewed on page 4 of the Photo/Audio-Visual window.
  • Change: Import and Link Images tool. You can now store your import configurations so different settings can be specified, saved and recalled for importing and linking images. A new field for defining the configuration to use is available at the top of the window.
  • Change: Import and Link Images tool. The Matches Found table in the Import and Link images window now displays the Accession Number of the object as well as the Object ID.
  • Change: Object Queries Now when you query on an object while in an Activity file you will open the object query tool not the Authority Search window. This offers more options for searching for the relevant objects.
  • Change: Address Reporting When reporting on addresses from Activity records each part of the hierarchy will be formatted on a separate line e.g. instead of Auckland/New Zealand it will be displayed asAucklandNew Zealand.
  • New: Procedural Action A new procedural action has been defined for Activities, this will enable you to automatically add links to AV records for objects to the current activity so Vernon can show the images of the objects that are linked to the activity record. There is an option to say whether all or only the first image for each object is to be linked.
  • Change: Procedural Control Triggered Reports When the procedural status of a record is changed, the user is prompted to print reports that are linked to the new status. This message prompt now has both an OK button and Cancel button as options where previously there was only an OK button.

New Tools

  • Vernon User ForumYou can connect directly to the Vernon User Forum from an option on the Help menu. Note that this feature requires an Internet connection.

Accession Number

  • Change Accession Number DefaultsAccession number defaults can now be changed per user (previously global).

Word Merge

  • Change: You can now alter the document format of new Word merges from Vernon. The default formatting of the data can be altered. For example, multi-valued fields can be presented in the form 'Value 1; Value 2; etc' or with each value on a separate line in Word.

XML

  • The XML Import windows have a new look. There are a number of additional options to make imports easier.
  • Change: XML Import of Accession Number If the XML Import includes the Accession Number field and there is no matching Accession Number format found, the Accession Number will be written to the Accession Number field but nothing will be written to the Accession Number Format field. To fix this you can do an Accession Number Format Rebuild report - this will highlight all the records without valid Accession Number formats.

Browser

  • New: Partial Export A new option has been added to the Browser Export wizard: Partial Export (of changed and new records) using an existing export configuration. This allows the user to specify a different list (of objects) to export for each collection. Only records in the list will be exported to replace/add to records in the Browser.
  • New: FTP File Transfer Protocol (FTP) has been added as a means for uploading images to a Browser site. This allows images to be automatically uploaded to the website as part of the export process.
