Activities Windows

Specific Activity Windows

Each Activity type (Loan Out, Treatment, Transport, Acquisition, etc) has its own file and windows where records of this type are catered for by fields pertinent to that type of Activity.

Common Windows

In addition all types of activity files have common screens and fields to record those details which apply to all types. These are:

  • Objects involved and Related Activities
  • Diary (of Steps & Tasks)
  • Costs for the Activity
  • Documentation References
  • Photo/Audio-Visual References
  • User Defined fields

Objects & Activities Window

The Objects involved in the Activity can be entered in several ways. Just type their accession number, name, etc and the Quick Search facility will find and bind them. If there are many you can bring them in through the Query tool, including using pre-saved lists. Or you can copy them in from a related Activity with a few keystrokes or mouse-clicks.

Each object can be qualified by part (e.g. if it's just the lid of the teapot that's being repaired). The Value of this Object is automatically entered - based on the Latest Insurance Valuation calculated from the object's valuation data - but this can be overridden with any value specific to this activity. The window shows the total of all the values for all objects in the Activity but this too can be overridden with any ascribed Insurance Valuation for the Activity.

Also aligned with the individual Object/part entries is a Notes field, plus there are six spare aligned fields for you to configure as you wish (2 authority controlled, 2 text, and 2 date/number/money). These are in addition to the general User Assigned fields which are also available for each Activity.

You can also record considered/rejected objects in a similar table. Useful for keeping track of, say, candidates not included in an exhibition. There are facilities in the window to transfer objects between the 'included' and 'considered/rejected' fields.

Related Activities are also connected in this window in a table which shows the Activity Type and Details and any Notes.

A double-click on any Activity or Object in this window branches you to the related item's window with that record. There is a button to invoke a Check for Conflicts. If any are found these are presented in a useful schedule showing all conflicts for all objects in this Activity.
