The Activities
These activities record and print incoming and outgoing receipts, for any reason. They record such details as the receipt number, date, sender or depositor, the procedurally controlled status of the transaction, recipient, owner, reason, method, file reference, details of the object(s), whether return is required and if so the date, temporary location, Curator in charge, and has facilities to record acknowledgements, if required. Procedural control can allow for pre-entry of anticipated receipts, casual receipts, and the progress chasing of returns and acknowledgements.
Inward & Outward Loans
Vernon has separate modules for inward and outward loans. These control lending and borrowing of objects from initial request to final return using institution specific procedures.
Details of the loans include the lender/borrower, loan type, purpose, start and end dates (and duration is calculated), conditions of the loan, as well as request and agreement persons and dates.
There is also a facility to renew loans. This automatically creates a new loan record, based upon the old, and links the renewals together so when viewing any loan you can see the preceding and succeeding loan history.
Acquisition Proposal
This Activity manages and controls proposed acquisitions. The fields include the status (procedurally controlled), date requested, requestor, file number, reason, method, source, curator in charge, valuation details and cost, comments and recommendations of the Curator, Registrar, Conservator and others, and the final recommendations and approvals.
page topTravelling Exhibitions
The system accommodates travelling exhibitions by allowing any number of venues to be recorded and managed independently. This lets you record object variations as the show moves.
The multiple venues are linked under a common exhibition record which stores the common information such as the name of the exhibition, organiser, overall dates, type, purpose, and descriptive notes. Each venue is then linked to the exhibition. Details on the venue record include the status, institution, opening and closing dates, the Curator in charge, details of sponsorship, insurance, special events, employees to travel, attendance, educational material, publications, etc.

page topConservation & Treatment
Conservation in Vernon Activities is handled by two separate facilities, condition reports and conservation treatments.
The condition report fields include the status (procedurally controlled), file number, the request details (person, reason, date requested and required, priority, Curator in charge), the laboratory undertaking the examination, date started and completed, text and authority controlled descriptions of the condition at both a general and detailed level (by aspect, such as support, surface, etc) and the examiner and their recommendations for treatment, storage, packing, handling and display (using both free text and authority controlled fields).
Procedural Control leads each condition report through the stages in its life cycle, from being requested to completed. The system can generate request forms and condition reports at the appropriate stages as well as schedules of outstanding, in-progress, and completed surveys, showing totals of costs and the actual and budgeted hours of these jobs.
Treatment data fields include the status, file number, the request details (requestor, dates requested and required, priority, reason/purpose, Curator in charge and a text request summary) approval details (in multi-valued set containing person, title/type, date and notes), administrative details (start and end date, and time and cost, showing for each the plan/budget, the actual, and any variance), the details of the treatment made (a text summary and a multi-valued set of fields comprising object aspect, object material, treatment method, equipment and material used, and notes, plus the person and laboratory who performed the work and the date it was done), and finally the recommendations (review date, further treatment recommendation description, keywords and priority, and recommendations on storage, handling, display and packaging).
Procedural Control leads each treatment job through the stages in its life cycle, from being requested to completed. The system can generate request forms and treatment jobsheets at the appropriate stages as well as schedules of outstanding, in-progress and completed treatments showing and totalling the actual and budgeted hours and costs of these jobs according to priority, laboratory, method of treatment, etc.
page topTransport/Movement
Transport and movement always present special issues for institutions with active loan in and loan out schedules. Transport, Movement and Crating activities can be used independently or in conjunction with any other management function, such as a loan or exhibition venue. They can plan and control both internal and external movement transactions.
The administrative details include the status, purpose, method, requestor, date requested, authoriser, date authorised, Curator in charge, associated costs and insurance details. Pickup and Delivery details include the contractor and contact person, courier, and for both pick-up and delivery the date and time, address, location (authority controlled), contact person and notes.
Any number of crate records can be associated with the transport record. For each crate you can record its type, label, description, maker and date made, construction details, measurements (using the measurement tool), the objects (or parts) which it contains, the location of the crate and general notes. Crate lists can be printed at any time, showing the details of each crate and its contents.
Insurance
Insurance policy details and their coverage are recorded in this Activity. You can make explicit links directly to objects which have special cover. The system also collates and totals all Activities linked to each Insurance record, such as all the Loans covered by this policy for an Exhibition. Procedural control can progress the policy through its life cycle.
