Data Entry

Data entry windows organise the many fields that make up a data file into logical groups with recognisable headings such as Identification, Creation & Production, Location, etc. This makes it easier for you to enter - or to look at - information.

Information can be converted from an earlier system, or it can be captured directly into Vernon CMS from your existing paper-based cataloguing system by people from within your own institution. Vernon Systems will support you throughout the process, suggesting data entry strategies that will make the system usable as quickly as possible.

A number of ′copy and paste′ functions are also a standard part of Vernon, allowing you to short-cut data capture by duplicating whole records - when there is enough common data to warrant this - or to copy particular fields from the previous record entered or from a template where you have defined the common data. You can also copy and paste into Vernon CMS from other applications, so if extensive curatorial comment, condition reports or other data already exist in the word processing program you commonly use, there is no need to re-key this information.

Import facilities also allow you to utilise data from other sources, in XML format (such as the Dublin Core standard) or in MARC bibliographic format.

You can create 'hot links' from Vernon CMS records to related documents in Word, Excel, Notepad and other common applications by defining these in the External Files field. A double-click on one of these links will automatically open the application with that document.

In situations where it is essential to get the system up and running quickly or when there are vast numbers of records to be entered, Vernon Systems can assist rapid data entry by building special data entry windows that mimic the format of your paper-based records.
