Viewing Data
Once you've retrieved one or more records from the system you can view those records
in any data entry window relating to that file. From there you can open any other
window for that file, from the Navigator Pane on the left hand side of the screen.
The list of available windows highlights those which have data to be seen - telling
you where data is present or absent.
Related records (held on other files, such as the artist, site, etc) can be viewed in their own windows at a mouse-click or keystroke, so you can see more detail or update these records and then return to where you came from. Looking at sets of records using multiple screens makes for easy and speedy navigation through your data to view or update it. And at any time you can call the Query tool or Reportwriter or ListManager with your browse list.
List Manager
The ListManager is a tool used to manipulate groups of records. It allows you to
view records in table format (i.e. specified fields, shown in columns) and provides
numerous other options for ways you can look at data on screen.
BELOW: The List Manager.
Using the ListManager you can easily:
- Change the fields displayed
- Refine the list by selecting or discarding items
- Add new items to it
- Expand the list to include subordinates (e.g. the works in the portfolio record)
- Sort by any number of criteria
- Combine the list with another list using any of the boolean operators
- View the records in a data entry window
- Go to the Reporting screen to produce a report with the list
- Save the list, retrieve a saved list or delete a list
- Convert to another file, e.g. create a set of donors for a set of objects and branch to the person data entry windows or reporting with these person records
