Diary

You probably spend a considerable amount of time keeping track of vast numbers of tasks and activities. These must be identified, scheduled, assigned to the person responsible, progress-chased and signed off when completed. Records of these actions need to be retained.

Using Vernon's Diary you define ′Tasks' for any Management Activity or the major files or as stand-alone tasks, assigning them an active date, due date, person responsible, etc. Management Activity tasks can be steps in a Procedural Control workflow or independent tasks associated with the activity (e.g. a loan).

You can also look at future procedural steps which have not yet been assigned for a Management Activity so you can easily see what might yet have to be done, and you can - if you wish - assign these to a person with a due date.

Diary tasks can be retrieved by any attribute alone or in combination. That means you can retrieve by its status (due, actioned or cancelled), type of task, date actioned, date scheduled, date due, person responsible, etc.

This can be something you action yourself or the system can do it automatically for you every time you log on. This logon search could show tasks assigned to you, which are not yet completed, and that are due in the near future. But you configure this as you want it. This ′tickler list′ can also be brought up at any time via a menu option.

Time and Costs: The Diary can also assist in keeping track of costs. For any task or activity step you can record budgeted hours and costs, actual hours and costs by cost type, plus the date of that cost and any notes.

The system can (if you wish) automatically insert standard costs for any task. For example for the Task ′Photographing the object′ there may be a budget of 1hour and $50 cost. Or for an outward loan there may be a standard loan fee of $200.

You can have multiple cost type entries per task, and the system sums these for the task showing the totals of actual and budget hours and costs plus the variance between budget and actual.

If the task is for a management activity you also get the totals for all tasks for that activity.
